Preparing phone numbers for SMS: formats, duplicates and import errors
Normalize phone numbers from CRM systems and spreadsheets, handle ambiguous entries and duplicates, and separate format validation from subscriber reachability.

Contents
A customer appears in the CRM with spaces in the phone number, in a spreadsheet with a national prefix, and in a form with an international representation. A person may recognize one number; an integration sees three different strings. Duplicates, rejected submissions and misleading reports follow. Prepare the list before creating delivery jobs.
Preserve the original input
Store the original string, source, import time and processing result separately. Fields such as phoneRaw, phoneNormalized, validationStatus and validationReason make acceptance and rejection explainable.
Treat spreadsheet phone columns as text. If an export drops leading characters or converts a value to scientific notation, do not guess the missing input. Return to the source and correct the export.
Normalization should not silently overwrite business records. Produce a transformation report first, then apply changes through agreed rules.
Parse with a known regional context
A string without an international prefix can have multiple interpretations. Obtain its region from reliable record context or ask the user rather than inferring it from the interface language.
Prefixes and leading zeros follow the relevant numbering plan. The libphonenumber FAQ explains why universal substitutions are unreliable. Parsing software helps produce a standard representation, while ambiguous cases still need an explicit policy.
Do not remove arbitrary characters or extra digits until a string reaches a convenient length. Preserve the rejection reason and request clarification instead.
Separate syntax from actual delivery
A structural check does not establish that the intended person currently uses the number or that it receives SMS. These are separate properties.
| Check | What it establishes |
|---|---|
| Parsing | An interpretable representation and region |
| Numbering-plan validation | Conformance to known rules |
| Submission outcome | The state of a particular message on a particular route |
| Contact confirmation | The contact’s connection to the current user in your workflow |
Keep these outcomes separate. A valid-format flag must not become a verified-subscriber flag.
Deduplicate within the business task
An identical normalized number does not justify merging customer records. Several employees or household members may share a contact number.
Define the suppression key for the communication. A campaign-plus-number key might suppress repeated promotional messages, while notifications for separate orders may represent independent events. The rule depends on the purpose.
Align it with the SMS template lifecycle and idempotent event processing. Contact duplicates, delivery-job duplicates and repeated transport requests are different problems.
Validate a small import first
Include different regions, empty values, extensions, damaged exports and several representations of one record. Review the expected outcomes manually before bulk sending.
Report accepted, rejected, ambiguous and repeated entries separately. Store permission to send independently of phone validation. In a QuickTel integration, these controls help submit prepared recipients and investigate failures without rewriting the source database.
